The mortgage documents checklist
- Income: two years of W-2 forms, two years of federal tax returns, 30 days of pay stubs
- Self-employed: two years of business returns, a year-to-date profit and loss statement, business licence
- Assets: two months of bank statements including every page, plus retirement account statements
- Identity: driving licence or passport
- Credit: written explanations for any derogatory items
- Property: the purchase contract, the seller’s disclosure, and association documents on a condo
- Gift funds: a signed gift letter, plus the donor’s statements showing the money existed and moved
- Florida: flood zone determination, wind mitigation report, and a four-point inspection on an older home
Send every page, including the blank ones
This causes more back-and-forth than anything else on the list. When a lender asks for a bank statement, it needs the complete document: all pages, showing the bank’s name, your name, the account number and the full period. A screenshot from an app, a downloaded transaction list, or pages 1 and 3 of a four-page statement will come straight back to you.
Underwriters are not being awkward. Page 4 is frequently blank apart from a footer, and its absence means the file is incomplete under the rules they work to.
Large deposits need a paper trail
Any deposit that does not obviously match your pay will be questioned, and you will need to document where it came from. Anti-money-laundering rules drive this, so it is not discretionary.
Two habits make it painless. Stop making cash deposits for the two months before you apply, because cash cannot be sourced and usually cannot be counted. Then, if you sell a car or receive a family transfer, keep the bill of sale or the transfer record at the time rather than reconstructing it later.
Gift funds have their own rule: the donor must show they held the money and that it moved to you. A gift letter alone is not enough.
Documents that expire while you shop
Pay stubs, bank statements and credit reports all age. If your search runs several months, expect to refresh them before closing, and possibly more than once. Therefore keep a folder and update it monthly rather than scrambling at the end.
